Role Purpose:
The main focus of this role is to provide comprehensive Executive Administrative, business & event management support at an executive level to the Markets & Securities Services (M&SS) business through excellent planning, organising and monitoring
Responsibilities:
* Provide executive support to the Head of M&SS Australia and direct reports business using written, verbal and interpersonal skills.
* Diary management including briefing on upcoming appointments and meetings, ensuring all appropriate support materials are available.
* Events - Managing the team events (external and internal), registering in gifts and entertainment register and working with teams on allocation to events
* Organize travel bookings, domestic/international flights and accommodation. Including submitting & reconciling expenses and receipt logging
* Manage new starters, transfers, departures including IT requests for system access and security access passes.
* Co-ordinate overseas visitor agendas and schedule meetings accordingly.
* Provide admin support for room reservations, video conferences, restaurant bookings.
* Prepare and manage Gifts & Hospitality requests
* Submit IT & HR requests for broader team.
* Compile and prepare PowerPoint presentations.
* Effective communication at the required level to relevant stakeholders.
* Delivery on key projects
* Ensure a seamless experience for clients
Requirements:
- The Higher School Certificate or equivalent secondary school qualification;
- Proven experience providing administrative support at an executive level in a professional services environment
- Ability to form effective relationships across all levels of the organisation.
- Strong written and verbal communication skills, as well as exceptional interpersonal skills;
- Outstanding organizational skills and the ability to work within challenging timeframes;
- Strong time management skills and attention to detail;
- A high degree of responsiveness with a quick, high quality turnaround;
- The ability to work independently, maintain confidentiality and show initiative when needed.
